Time for a new spreadsheet.

Following up on my previous spreadsheet post about tracking expenses, I present you the spreadsheet to track those sweet, sweet sales, which I’m pretty sure you’ll happily fill in every time you sell something.

This is like a small scale CRM that will give you insights into who is buying the most, what are you selling the most, track your growth and which payment processor is used more often, and keep track of delivery of your product or service (through a simple checkbox).

What’s this?

It’s a Google Sheet spreadsheet template designed to track sales of your products or services. It is originally created for the most common sales threads on BHW, but it can easily be customized for any other type of sales. The sheet can be downloaded and used in Microsoft Excel too.

With simple drop down menus, you can add and automate calculations on most of the things, something like this:

Who needs this?

Everyone who is making sales but not using CRM. Tracking sales on anything is very important for a number of reasons:

  • Know your most loyal customers and the biggest spenders, manage relationships better
  • Insight into monthly sales, tracking your growth
  • What product is the most popular
  • What payment processor is the most popular (helpful in planning expenses)

Don’t be bothered about the products that I’ve listed here, it doesn’t matter if you sell SEO services and packages, content writing, social media accounts, reviews, etc. The list is easy to customize. If you sell anything, you really should track it.

How many customers can this sheet handle?


There’s no specific limit, but if you have hundreds or thousands of customers, you should probably switch to a CRM software instead of a spreadsheet. The original design has room for 60 customers and 9 products, but more can be added once you need them.
It is designed for a single calendar year, once 2022 starts, you can replicate it but keep the data from the previous one.

How do I customize the list?


You can write/edit on any fields highlighted in yellow. Once you do that, you will see changes in drop down menu options.
For example “Customer name” should be changed to an actual customer name, sounds pretty straightforward, right?

If it doesn’t you can always comment here or shoot me a message with a question.

  1. Copy it to your Google Drive or Download as Excel file
  2. Make a sale
  3. Add it to the list
  4. Tick the checkbox once it’s delivered.

Just a note to anyone downloading it and using it on Microsoft Excel instead of Google Sheets:
1. The "Delivered" column with checkbox will not transfer well, so you have to add it in the column on your own.
2. Charts are a bit overlapping, just drag and drop to leave a bit space between them.


Glossary:


Customer - Customer or client, an individual or organisation that paid you money for your product or a service.

Delivered - A checkbox to indicate whether you’ve delivered the product or a service. If you don’t need it, simply delete the column.

Amount - How much did the customer pay for the service/product. You can also decide to put the net profit instead, if it’s fixed. So for example, if a backlink costs you $50, and you’re charging $90, you can either put 90 or 50, but be consistent and always apply the same method.

Product - Dropdown list of your products or services that you’re selling. Edit the fields highlighted in yellow to edit/remove some products. This spreadsheet is capped at 9 products, but if you need more let me know and I’ll try to expand it for you.

Month - Another drop down menu, will allow you to track expenses per month, the amount from the “cost” category will be automatically added.

Date - Just add date for more clarity on when you’ve purchased something. Could be useful to track TAT of a service, for example. Remove if you don’t need it.

Payment via - What payment process did the customer use. If you don’t need this, you can remove the entire column and the chart, but I recommend that you keep track of this, even if it’s just 2 options.

Total per product - What’s the best seller? See here. This will automatically add the sum of all sales per product which will be displayed in a pie chart..

Total per month - Same as above, just for months (and it’s not a pie chart)

Payment processors - Same as above. If you want, I can add that transactions fees are automatically subtracted, so that it only shows the actual amount of money you’ve received.
For example, PayPal charges 2.7% + $0.30 per transaction. Let me know if you’d like this changed, but I’d also need the transaction fees percentages.

Total per customer - Who’s your biggest spender. Helps you calculate customer lifetime value and manage relationship better.

Orders per customer - Shows total number of orders per customer. Good for tracking loyalty and frequency.

Overview charts - Visualisation of the four tables above, also showing percentages. There’s no chart for the number of orders per customer.

Awesome share, thanks! I've always avoided tracking anything, but have realized that it is the only way to really assese where you
have been and where you you be going. Some times it's the very small tweak that makes. huge difference.
