How do you organize/plan/structure your stuff?

I'm curious what other people are doing to keep track of projects, and to do lists etc.

I literally just use sticky notes, and notepad, occasionally spreadsheets, which is becoming really messy and inefficient. I wanna try up my organizational skills, but it's really not my strong suit, I tend to to do things in random unstructured ways...

What are the key features of Asana? Does it have a notification with an alarm of some kind? Like suppose tomorrow at 4 pm, I have to do something, so can I set it on reminder with a constant sound when the time comes?

While we are on the topic of organizing and productivity, do you think, by the nature of the tech giant MS and Google, they spy on what we write in MS word/excel and google docs/spreadsheet?

MS and google openly states in their privacy policy that they share information with their shareholders and partners lol so I just avoid their products as much as I can. I am stuck with plain notepad. It sucks that I can't use the Bold and underline feature but what can we do?
I also think people ditch Outlook because MS can spy on emails or something.

I like Asan because it has free iOS app, good web version, you can create any number of projects, you can sort tasks easily, you can set deadline and recurring projects.
I'm not using notification with alarm sound, but I believe they have it in their paid version.

Don't they have a dedicated windows software?
As I understand Notepad is also MS, so they spy your Notepad as well :)

I don't think they spy on notepad because notepad is free, right? And I am certainly not comfortable knowing someone is seeing what I am writing. :)

Notepad is free with Windows and Windows are created by Microsoft, so I do not see any difference from MS Office or any other Microsoft software.
Overall, I doubt anyone is interested in reading what you write and I doubt they spy you in such a detail.

They soon changed the policy when people got furious.

I use ToDoIst. I can set up different projects, easily set up recurring tasks, and so on. It has an app too so I can use it on my phone or on my computer. It's not nearly as advanced as some other solutions available, but it does the trick for my needs. If you're moving from paper/sticky notes, check it out.
 
I used to use evernote to collect most things, but it got unruly real quick.

I use Notion now. It's like creating your own wiki -- and completely modular so you can suit it and format it to your needs. I've been using it for a while now and it's a great place to store all of my long-term projects stuff.

For work projects I use Asana for the team collaboration functions.
 
I mostly use Evernote to store things/plan out things for myself, Google Drive to share stuff w/ my team, a whiteboard for long term goals/plans so it's always in front of me & sticky notes for daily todos & "nice to have" todos.

Works mostly well for me. From what I've seen the biggest issue for most people isn't what software they're using, but what kinds of tasks they're letting fill up their day.

Effective vs efficient, etc.
 
I used many apps as well as stick note but paper notebook is best for me yet, paper note book which is easier to carry.
And for reminder I use proudly whiteboard in front me above my working desk.
So paper-pen and white board still alive in my character with smooth and efficient productivity. :)

A couple of weeks ago I asked Notion if they have access to my data or not and they told me this:

They "do" have access to our data and it doesn't matter whether they access it for user issues or errors. The thing is they "can" access it anytime they want.

I certainly would not want anyone to see about my private life as well as business purpose.

I did this inquiry as I was so excited with the flow of how notion is and how it works. I was captivated by the app as well as it's price. It's an all-in-one app but that reply made me stop going towards it.

Wow, thanks so much for the info and investigation. I don't really keep anything sensitive -- and I don't think random Notion employees have any reason to check up on my personal stuff, so I'm still OK with the risk. Though I'll definitely be aware and more selective about what I *am* willing to put into Notion now.

As a general rule, I don't put anything on my desktop that I don't access on a daily/frequent basis.
Also in general, I keep most files in the cloud -- you can use Dropbox, Google Drive, etc.

And organizing your files would just be to create multiple folders that separate your files with some form of logical structure. I would think in terms of "workspaces" keeping things that are related all together so that you're not constantly shuffling through different nested folders. I would also of course separate Personal and Work-related matters, in addition to thinking about how frequently they are accessed. Using "!" and "_" as well as numbers in front of folder names to bring them up to the top, helps to keep your most frequented folders more easily accessible as well.
 
Nothing beats a physical notebook for me. It helps me focus on my to-do lists for the day. On the left side, I write something motivational. and on the right side, I write Today's to-do things. And, I need the notebook within my arm's reach or else it doesn't exist for me. Out of reach means out of focus. Game Over!

Thanks for the tip, i think about using tools to like freecommander or similiar, any advices tools like that?
I deactivated windows search to use less resources but it's hard now to find some files ...
