How do YOU manage all your Sites, Accounts, etc.

While i'm still relatively new to the IM business i'm sure that this is not only a problem of people new to the game.

I'm trying to figure out a good way for managing all my data. This is always a problem in every business as we know. So i thought i just ask how you do it.

So please tell my how do you cope with all the different accounts, website, backlink url (to check them, or do you check them?!), data in general. Whats your System? What tools do you use e.g. Excel, Office Live, LiveMesh?, etc

In my day job i'm doing some SharePoint stuff and thought that it would actually be a great tool because you can create custom lists and so on.

I would love a kind of BI-Center with KPIs and stuff for all my Websites, backlinks, new keywords, opportunities etc. Wouldn't that be great? I also read somewhere about custom database setups and code which do all kinds of stuff like keyword tracking...

My approach at the moment is to create an Excel file for each of my sites and store all the information in there, but i would love to somehow automate some of the things i do with the stuff in the excel file.

I have an Internet Marketing folder, in that folder there is a seperate folder for each of my sites, those folders then contain:

1: passwords for that site (wordpress login, email etc)
2: all my backlinking web 2.0 properties (logins, urls etc) and when they have been pinged/bookmarked etc.
3: backlinking diagrams using visio

I thought about setting up a few vm's myself. 50 sounds quite alot to me. For me it probably would be hard to stay on top of that. I like the idea of one different IP for your important stuff though.

I always wondered what product you use for setting VM's with wmware?
Can somebody explain me what product i should choose and what will be the cost per year/month.
The main question is if i can set an desktop application so that can be accessed by more than one user in the same time.

but yeah I basically work all my stuff off memory. if I forget a password I usually can remember all of my old ones.

I batch the work and try to avoid changes as long as possible (ie changes to projects every 3ish months)

For passwords i use roboform (do a google search) to remember all my passwords.

For my site management, i use firepow (again do a google search). It's a mass blog management system but it's pricey. Worth it if you have 50+ sites or so to manage.

Firepow looks interesting - some questions for you from a "user standpoint"

I currently run WPDirect for some projects (one of the "competitors" they compare it with)
- Do you know where it pulls its auto-content from?
- Where do you still need to tweak things at the "blog admin / wp-admin" level?
- With auto installation of a blog, can you specify specific plugins, and a set theme template, etc?
- Has the program run "as described" in their sales literature, or are there any "speedbumps" to watch out for?

Firepow looks good and RoboForm makes me think if i should change back to Firefox.

+1 for keepass for password and URL management

This tool looks like it could be quite useful. But the interface looks kind of "old" to me. I would love some browserbased AffiliateSharePoint ^^.

I like the RankTracker Modul of Market Samurai. This would be one of the features i would want in a solution.

I use RoboForm to keep a track of all of my data, I then sync this data to a secure roboform server for a constant backup using GoodSync, which is pretty useful, allows me to access all of my login data from anywhere in the world.

I use FileZilla to keep atrack of all of my websites FTP data, I use RoboForm to also keep atrack of my cpanel login data, I use firefox bookmarks to keep up with all of my websites, content to read etc.

I then use Google Reader for RSS needs, thunderbird for e-mail, then all of my projects are split into seperate folders, into this sort of system
/projects/
/projects/project_name/
/projects/project_name/backlinks
/projects/project_name/backups

Then I simply keep all keyword tracking within the /project_name/ folder.

Excel, notepad, and statsremote for the cpa accts. Pretty simple.

I forgot to mention, Microsoft office 10 is one of my "most used" applications lol, definitely needed if you wanna stay organised.

I use google docs, with a spreadsheet links to all sites, and then for passwords, i use the same passwords for different levels. Super secure for stuff like financial sites. then Blog passwords. Forum passwords etc. Local folders with offline stuff.

Lastpass - For passwords + different logins for each persona.

Action Outline - I create a new file for each website, and create categories for backlinks, related affiliate offers, social profiles, research links, etc. Great thing is I can view all projects at one glance, instead of having a million notepad files in different folders. Plus all links I paste into it are parsed. Loads fast too. You can also paste screenshots into it. I highly recommend it.

Dropbox - sync files with multiple computers

FreeMind - for mindmapping and seeing the 'big picture' of each website

For site management, I use excel to keep track of:

- site url
- ip address
- cpanel logins & pw
- wp logins & pw
- database usernames & pw's
- hosting account
- domain registrar
- registrar info (ie. private reg or otherwise)

Roboform is also essential.

How about MS OneNote? I actualle like it alot for studying because you can search it and it even searches in images you paste etc..

LOL this is my method too, except i have 3 screens. Bad thing is that stuff will sit in a corner and get forgot about sometimes for awhile too.

Passwords aren't a problem if you have a mnemonic system for selecting passwords. A simple system can produce powerfully random passwords and yet for you its as easy to remember as if you were using your birthday for every single one. The harder problem is remembering all the usernames.

I need to set up a simple system like homenet is using and then also set up some spreadsheets too.

I try to use free things. I don't have the money to spend, and if I did, I hate keeping track of those serial numbers. I used to find serial numbers i could use, but I still find it annoying, and theres so many free/open programs out now. only thing I pay for right now is hosting, since free hosting is so limited.

Power.com is good for social networking. Was better till facebook complained.
pageonce.com is good for keeping track of all your accounts.

multiple web browsers, so I don't have to log in and out of each acct, Flock is one you might not have heard of, I use FireFox, Chrome, Safari, IE, Opera, Camino. I could open the same program in separate instances but I like to compare them to each other.

If I had more machines to manage I'd use net boot to update everything

used to have a few usnet tools but most ISPs dont have free access anymore, so it seams to be a dying service.

I forget what iphone app I use to update my status on multiple accts (twitter, facebook, aim...)

Currently i'm only making a couple dollars a month online. My most profitable time was in 1999 made ~$10K profit in one week from ebay (never had another time even close to this good). also got a $65 check from some adult affiliate in 1999 i wish i could remember them, also a gambling affiliate (out of business) owes me $5k from 1999. I had a hard drive failure in 2000, i had some back ups but lost some things i didn't realize how important they were till they were gone.
