I have opted in emails from my customers and I am sending them welcome emails but those emails landing on either spam or promotion box. I have newly setup business email and using zoho mail service. Now planning to shift to spacemail. Is this issue due to spam server of ZOHO? Should I change them. I am not even mentioning any word such as BUY NOW, ADD TO CART so, there's no way to get my newly setup email or campaign to land on promotion.

If you don’t warm up your SMTPs before doing sendout’s you’ll land in spam. Be careful not to overdo it from the get-go because your domain will get flagged.

Start off with sending a couple mails, get a few responses, and take it from there while gradually increasing volume.

I have not my own SMTP server configured I have an custom business email ready and I am sending email from it. For example [email protected]. I have this newly created email and I am using this email to send email campaign from Mailerlite

if it's about whitehat, maybe just try to use mailchimp or getresponse or somethign like this? should be fine tbh :)

How many emails per day or per month do you send though?

Is your DNS correct? DM me your sending domain and I will look at it FOC for you.

If you got optin emails then you should be using an ESP such as mailchimp or convertkit. They got good IP reputation and you shouldn't be having these issues.

max 50 per day from each sender email is safe

Check email Health of sender email?

Check Bounce Rate?

Email IP? is it spammed?

Some Basic things will help you

Any tool that can help me to figure out all of these?

I am using Mailerlite. How will I confirm which provider has good IP reputation or not.

Use your own email addresses and send an email to yourself and see where it lands, you could also try to view the email source and paste the IP in an IP lookup service to check the reputation.

Reasons Emails Land in Spam & Recommendations

  1. SMTP Reputation Issues & Insufficient Warmup:
    • Reason: If you use an SMTP server that has not been warmed up properly or has a poor sending reputation (due to previous spam behavior), your emails are more likely to be flagged as spam.
    • Recommendation:
      • Warm up your SMTP by gradually increasing email send volume over several weeks.
      • Start with sending small batches of emails (e.g., 20–30 daily) and increase incrementally.
      • Use engagement-focused campaigns to collect positive signals, like replies or clicks.
  2. Generic Email Content:
    • Reason: Spam filters often analyze the email content. If it looks too generic, promotional, or lacks personalization, it may land in spam.
    • Recommendation:
      • Avoid using spam trigger words like “Buy Now,” “Limited Offer,” or “Free.”
      • Ensure the email has a balanced text-to-image ratio.
      • Check your email copy for relevancy and avoid too many links or images.
  3. Importance of Hyper-Personalization:
    • Reason: Emails without personalization are often flagged as irrelevant by recipients, leading to low engagement rates, which signals email filters to classify them as spam.
    • Recommendation:
      • Use the recipient’s name, location, or past interactions in the email body.
      • Focus on dynamic content based on user behavior or preferences (e.g., “Hi [Name], I noticed you recently signed up for…”).
      • Make the subject line attention-grabbing yet personalized—e.g., “Here’s how [Your Company Name] can help [specific issue]."
  4. Lack of Two-Way Communication:
    • Reason: Spam filters prefer emails that promote engagement. One-sided emails with no options to reply or interact may be categorized as spam.
    • Recommendation:
      • Add a “call-to-action” that encourages responses (e.g., “Let us know if this solution works for you!”).
      • Include a reply-friendly tone by saying, “Hit reply to share your thoughts, and I’ll personally respond.”
      • Use feedback surveys or include questions to encourage interaction.

Yes, Zoho's IP reputation can be a factor. Switching to SpaceMail or using a custom SMTP with proper SPF, DKIM, and DMARC records can greatly improve inbox placement.

Only if the custom SMTP is not on a shared IP or spammed to death.
