This is a common pain point—most tools show data but don’t solve workflow. Many still rely on a mix of dashboards (like Triple Whale/Looker Studio) plus simple task systems, but the real improvement usually comes from standardizing processes and having a clear weekly review structure rather than adding more tools.
yeah that’s a fair point
process + weekly reviews definitely help bring some structure
but I keep seeing that even with that in place, the day-to-day is still pretty manual
like before the weekly review even happens, you still have to go through multiple dashboards just to figure out what actually needs attention
so the process helps, but the “what should I look at right now” part still isn’t really solved
do you rely mostly on that weekly cadence or do you have something for day-to-day visibility as well?
At the moment, it’s still a mix of spreadsheets and platform dashboards, with some internal prioritization systems layered on top. It works to an extent, but it’s definitely not the most efficient — especially when it comes to quickly identifying what needs immediate attention. That’s where a more centralized view would really add value.
yeah that’s exactly the gap I keep noticing
everything technically “works”, but the cost is time + mental overhead
you end up stitching together:
spreadsheets + dashboards + internal notes
just to answer one simple question:
“what actually needs attention right now?”
centralized view helps, but I feel like it also needs to go one step further and actually point to where to act
otherwise it’s still just a cleaner place to look, but same manual thinking
how are you currently prioritizing — mostly based on experience/intuition or do you have some rules behind it?
"not knowing what to focus on / where to spend time" is the key element for me here.
I found gocrux.io which seems to solve this exact issue as they have a 'business triage report'. Basically categories channels / kpis into 3 key buckets of priority to look at.
Started with it 1 month ago and early signs are very positive.
that’s interesting — the “triage” idea is definitely the right direction
reducing everything into a few priority buckets already solves a big part of the problem
I’m curious though — does it actually go down to the exact place to act?
like:
which campaign / ad is causing the issue
what specifically needs to be changed
or is it more high-level “this channel/kpi needs attention” and you still dig from there?
feels like that last step is where most tools still leave the work to the operator
Yeah, totally feel you. I’m juggling 5+ clients across Meta and Google, and it’s a mess too. I still mostly use spreadsheets and slack to track stuff, but it gets confusing fast, tabs everywhere, losing what’s important. Tried some tools like Voluum and Triple Whale, but they show data only, don’t make running campaigns easier. Honestly just wish there was one dashboard to see performance, who’s doing what, and what’s broken without switching tabs all the time.
yeah this is exactly the situation most people end up in
tools give you visibility, but not clarity
so you still end up being the layer that connects:
performance → issue → action
and that’s where the mental load comes from
the “who’s doing what + what’s broken” part you mentioned is probably the missing piece
out of curiosity — how are you currently deciding what to look at first each day?
just scanning accounts or do you have some kind of priority system?
Still messy tbh, most of us just accept controlled chaos.
Best setup I’ve seen is simple: Looker Studio dashboards + Slack alerts + very basic task board, nothing fancy.
All-in-one tools sound nice but usually slow you down, custom lightweight setup always wins.
yeah that’s a solid setup tbh — simple usually wins
lookers + alerts + basic task board seems to be the “working” version for a lot of teams
but even there, are you still the one interpreting everything?
like deciding:
is this alert actually important
what caused it
where to act
feels like that layer still sits on the operator, just with slightly better inputs
have you seen anything that actually reduces that part, not just organizes it?
100% relate to this. The chaos gets real when you're managing 5+ clients across different platforms. What worked for me was shifting from spreadsheets to AI-assisted workflows — basically automating the reporting and flagging parts so you're only making decisions, not chasing numbers. For the outreach side of things, I use LinkedIn automation paired with WhatsApp follow-ups, and having everything in a single workflow (not 10 tabs) made a massive difference. The custom lightweight setup approach BoostX mentioned is honestly the right call — bloated dashboards create more noise than signal.
yeah this makes a lot of sense
“only making decisions, not chasing numbers” is basically the ideal state
AI + lightweight workflows definitely help reduce the noise
I’m curious though — when something gets flagged, does it actually point you to the exact place to act?
like:
which campaign / ad needs attention
what specifically to look at
or is it still more of a signal that you then interpret?
feels like that last step is where most setups still rely heavily on the operator
