Anyone else drowning in multiple ad accounts / spreadsheets?

Running into this more and more lately.

Managing multiple clients across:
- Meta
- Google
- TikTok

And it’s just chaos:
- 10+ tabs open
- spreadsheets for tracking
- Slack messages for issues
- no clear “what needs attention” view

Most tools I’ve tried:
- show data
- but don’t help actually run things

You still end up:
checking metrics → switching tools → assigning tasks → losing context

I’m working on something to fix this:
basically one place where you can see:
- performance
- who owns it
- what’s being worked on
- what’s broken

All tied directly to accounts/campaigns (not separate task tools)

Not pitching anything here — genuinely curious:

How are you guys handling this right now?

- still spreadsheets?
- custom setups?
- using tools like Hyros / Voluum / Triple Whale?

Would love to hear what’s actually working (or not).
 
yeah honestly still kinda messy for most people, even with tools. a lot still using spreadsheets + slack + ads manager combo, just trying to stay organized manually. tools like hyros or triple whale help with tracking but don’t really fix workflow or task side like you said. some teams build custom dashboards or use notion/asana to track tasks but still need to switch tabs a lot. i think biggest problem is everything not connected in one place, so people just make their own system and deal with it.

so you end up with:
data → one place
tasks → another
comms → another

I found gocrux.io which seems to solve this exact issue as they have a 'business triage report'. Basically categories channels / kpis into 3 key buckets of priority to look at.

Started with it 1 month ago and early signs are very positive.

Honestly just wish there was one dashboard to see performance, who’s doing what, and what’s broken without switching tabs all the time.

What worked for me was shifting from spreadsheets to AI-assisted workflows — basically automating the reporting and flagging parts so you're only making decisions, not chasing numbers. For the outreach side of things, I use LinkedIn automation paired with WhatsApp follow-ups, and having everything in a single workflow (not 10 tabs) made a massive difference. The custom lightweight setup approach BoostX mentioned is honestly the right call — bloated dashboards create more noise than signal.

At the moment, it’s still a mix of spreadsheets and platform dashboards, with some internal prioritization systems layered on top. It works to an extent, but it’s definitely not the most efficient — especially when it comes to quickly identifying what needs immediate attention. That’s where a more centralized view would really add value.

Some setups reduce it a bit with rules or scripts, like auto-pausing bad performers or flagging anomalies, but they’re limited.
Anything fully “automated thinking” usually breaks or misses context, so most teams keep a human in the loop.
 
I have a tip that could really save you a lot of trouble over the next three hours if you put it into practice: install Claude Code on your computer, and create whatever you need to create in this case, a single, efficient tracking interface. Trust me, this tip saved me a lot of trouble in e-commerce, where I have to create hundreds of product listings for Google Shopping.

Don't just skip over this tip and move on to the next one: put it into practice for at least 5 minutes. And good luck bro, I wish you success in your project.

I don’t think the goal is to remove the human at all

it’s more about reducing the surface area of what you need to think about

right now the problem is:
you have to scan everything → then decide what matters

ideally it flips to:
you’re shown the few things that matter → then you decide what to do

so the thinking stays, but the searching goes away

feels like most tools stop one step before that

I have a tip that could really save you a lot of trouble over the next three hours if you put it into practice: install Claude Code on your computer, and create whatever you need to create in this case, a single, efficient tracking interface. Trust me, this tip saved me a lot of trouble in e-commerce, where I have to create hundreds of product listings for Google Shopping.

and yeah, I actually agree AI tools like Claude/Cursor can help a lot with building internal stuff faster

the thing I keep coming back to though is that if the answer for every team is “just build your own layer,” that kind of proves the gap is real in the first place

for solo operators that can work well

but for smaller teams/agencies, most people won’t have the time or technical setup to keep building and maintaining custom tools around all this

so I’m trying to understand where the line is between:
“AI makes custom setup easier”
vs
“people still want a clean product that solves the annoying middle bit out of the box”

curious — are you mostly building these kinds of workflows for yourself, or for a team too?
