Best Bulk Cold Emailing Solution 2021

Hey, do i need to be a business in order to send B2B emails in Europe? Or i don't need to have a registered company for a start.
I would research GDPR laws. I'm not a lawyer so I don't feel comfortable giving legal advice here but there are appropriate ways to cold email companies in Europe B2B.

the new website is almost done and one domain is warming up to send out cold emails soon.

@Shatzyo and @BigAllenEnergy how do you handle the forwarding of the leads as efficiently and scalable as possible?
Or do you offer to handle the email conversation until an appointment is booked in the client's calendar?

My ideal scenario would be to hand over the login details of the email account to the client and let them handle the positive replies.
I see 2 challenges:
A) How can I efficiently filter out negative replies, bounces, etc. for multiple clients?
B) Contacts who do not unsubscribe by themselves but reply something along the lines of "don't contact me again"... How can I ensure they are getting on my blacklist/ out of my sequence without checking it manually myself?

Another option would be forwarding the positive replies (if possible in a very efficient manner) however, then I am wondering about:
A) How big of a disadvantage for the booking conversions of my client is it, if they answer the positive email replies from another email address?
B) Wouldn't it be beneficial if he answers from the cold mail domain to add more human behavior/real conversations in the mix?

I hope the above is not too confusing and you understand my goal of finding the sweet spot of avoiding too much manual work and providing a decent client experience. Highly appreciate all ideas and suggestions :)

I forward all the replies to my clients. I don't filter anything, they get the negative and positive ones. I don't handle any conversation by email. I just send the campaigns.

I always tell the clients that doing outbound is like knocking at people's doors. Be transparent and tell them that they'll receive more negative replies than positives. That's OK.

If they're not ready to receive negative replies, they're not a good fit for outbound campaigns, they'll be disappointed. Avoid these customers.

For the filtering, just setup a filter that forwards every email to the client's main inbox except the ones from some recipients (mailer-daemon@, etc for the bounces) and except the ones that contain some words (delivery failure, etc), the warming filtering code, etc)

Concerning the unsubscribes and the repliers : that's easy, never contact the repliers again. Once the person replies, it's on your client's side. The unsubs are automatically removed.

It's OK if they reply from another address. It's better for deliverability to generate more emails on the domain that sends the campaigns but you can't really do that in good conditions when selling cold email services. You need to control the sending address and you don't want to ask you client to use a different inbox.

As long as you always warm the mailbox, you're good. The warming activity does the back and forth conversations on the domain that sends the cold emails.
 
@Shatzyo I love your philosophy-- we have very similar approaches, but I think your's is actually more resilient than mine.

Curious, has anyone seen deliverability (open and reply rate) drop off in the last couple weeks?

We're running dozens of campaigns, and have seen a sudden drop in most of them this week-- even the mature ones that have been predictably effective for months.

I am on the fence with Mailreach - Can you share some of the differences you noticed when using Mailreach say vs Warmupinbox? What makes it worth 20$ per month per inbox?

I've tried both and many others, Mailwarm, Folderly, Warmy etc.

Mailreach is way more advanced (meaningful warm up content, positive replies understood by Google and Microsoft), discrete behavior, ability to check how you're doing on Outlook vs Gmail, great spam checker, etc. And they always improve their algo.

Getting positives replies, understood by Microsoft and Google, has more positive impact on your reputation VS getting bullshit replies of nonsense sentences.

A proper warmer should emulate a cold email activity that gets a lot of leads. Not nonsense/fake conversations.

If you're short in cash, you can use Warmup Inbox, it will do a part of the job, but to get the best results, use Mailreach.

I'm currently around 60% open rate and 10% reply with summer, didn't notice a big drop, just the usual summer decrease.

Run spam tests to see how you're doing with deliverability. If you get perfect scores it can just be that you target people are less responsive as we moving forward in summer.

I mostly target founders/CEOs, they're usually responsive, even if they get spammed every day.

@Shatzyo @Dennis I think it was a tracking link reputation issue through Apollo. Their user growth exploded so every jabronie started sending spam w same tracking links.

Got better after switching some accounts to an enterprise plan. Others by switching custom tracking domains. (Surprisingly, even tested some on our Sendgrid IPs, and getting 40-70% open rates on high vol. setup right now depending on copy/target market, etc).

The rest seemed to get better themselves, but took longer.

Problem w Apollo is you can't add custom tracking domain at the inbox level. Only at the account level. So if you use multiple inboxes, you can't have a matching custom tracking domain for each.

Yes, having the by default tracking domain can destroy your deliverability and sometimes divide it by 2/3 so I'm definitely not surprised.

Right now I'm having around 75% open rates on the campaigns I run and 3% lead rate. August is great on my end.

My setup hasn't changed: sending from G suite, from several domains, warmed with Mailreach. There's nothing better for now from what I see from my tests and all my contacts.

By the way, I've tested Evaboot (french guys, again) to scrape Linkedin Sales Nav, really cool and promising, helps save a lot of time on cleaning the lists, I recommend. I still use Apollo as well for big lists.

LOL you are right i'm sorry. That was a really dumb question. Just new to cold emailing so I don't want to mess up.

You said set up a custom domain tracking. Is this a seperate domain from ALL the other domains / emails you use to send? Am I able to set up 1 custom domain tracking for all my other domains/emails (i plan on doing only 3-4)

I plan on using g suite + mailshake.

What is the best email marketing platform to use for this? GMass or Mailmeteor makes you log in to each account separately, so I would have to send 10 separate small campaigns each day. Mumara or Mailwizz support connecting to multiple G suite accounts and rotating them for sending a single larger campaign, but then your server IP is exposed in the received headers and can easily get blacklisted.

What is the best solution?

But I have one question regarding cold email (might've missed out if you've mentioned this before), which is, how long should the delay/pause be, between emails sent out from same account in the same batch?

For example I'm sending 200 emails from 1 account (already warmed for months), what should I set as the delay between emails, should it be 30 seconds / 1 minute / 5 minutes or longer?

How long do you normally space out the emails from the same sending batch (from same sender account)

Really appreciate it if you could shed some light on this Shatzyo =)

This might be beneficial for the domain rep. and we could use the cheaper option you just shared above.

You still don't use personalization, right?

Getting a 3% positive reply rate with only good copy and only 2 follow-ups seems almost impossible to me (at least from what I read and heard so far).
What do you think makes the most difference?

3) What are typical angles for your follow-ups? Do you use case studies, content (docs/videos), Guarantees, or something else?
I find it much harder to come up with strong follow-ups, compared to the first email.

First I would like to thank you for all the amazing value that you have supplied here. I have read this thread from end to end.

I have also taken your advice and read 4 books on cold email from amazon. Cold email really does look like an amazing tool for targeting individuals directly that have the ability to make the decisions and to give them customized solutions that target their needs.

I have been doing bulk email for many years and although profitable it is not a good use of time, money, or resources.

My main question for you is do you have your system set up in such a way that it does not need you and that you can exit this business? I am not saying that this is something that you would want to do at this time or ever. I just really want to know if it is possible to sell this business?

In all honesty I have set up far to many web bassed businesses that have no posiblity of exiting or selling and become a time drain. They often require to much time in the business and don't give the freedome to build multiple streams of income or exit.

Yes you would ruin your reputation. Using subdomains is useless as all the subdomains are on the same main domain.

If you have one subdomain, let's say @subdomain1.domain.com and you start to land in spam, it will contaminate all the other subdomains like @subdomain2.domain.com, etc.

Using subdomains is a bad idea, don't do it.

If you want to mitigate the risks, buy several domains, that's it.
I have one questions
If I have several alias domains linked to the gsuite
Do I need to warm up these alias domains ? Or just warmup the main domain ?

You need to send from Google. Mailmeteor and Gmass send from your Google account which is good for sending and deliverability. There's also Mailshake, Outreach, Mixmax etc. That works.

Mailwizz is crappy, I've said that dozens of time. It's a real spamming tool and spamming tools land in spam.

There's no exact number, you need a delay, the higher the better I'd say. Between 30 sec and 5 minutes is fine.

1) It can help yes but you don't need it to have a perfect deliverability.

2) 99% plain text, in some cases I put an image in the signature but never the logo or boring stuff like this. If I use an image, it's to help increase the lead rate. If my client is a woman, I like putting her profile picture in the signature as women have more replies than men.

But I'll never put any social media logo, it's totally useless and I don't understand why some cold emailers do that. People don't have time to click on all your social media, they don't give a shit.

There's also the personalized images, lemlist does that. I've tried it and it worked for a while. But now, my target market is used to that and it doesn't work really good anymore. I stopped it and went back to mostly plain text.

I use personalization : First Name and Company Name are nearly always used in the copy. But I don't use fancy sentences generators etc. You don't need that to grab the attention.

Getting a 3% lead rate is possible with a good copy and only 2 follow-ups AS LONG as you sell something people want. Of course. If you sell something nobody wants you can create the best copy ever it won't sell. What makes the difference is what you sell and how you're able to convince you solve a problem your target has.

You can't do magic for a shitty offer that doesn't solve any problem. This is why I choose my clients. If I think their product or service doesn't solve any problem, I say no. And sometimes I think it will work and it doesn't. So I stop working with them after 1 month.

But don't aim for 3% lead rate. 1% lead rate can work fine if you have a high volume of contacts. Your job is to bring leads on a regular basis.

3) I won't give my recipe but I make it very simple, no fancy stuff. Just ask yourself "If I had to contact one person manually, what would I tell her?" Don't think cold email, think 1 to 1 email. Don't act like a bulk sender.

That's a good question.

This is not the best business to exit because it's mostly based on knowledge (email copywriting is the number 1 knowledge, deliverability second but now with solutions like Mailreach it's becoming easier). And the success of my company is mostly based on me, at this time.

After that, it depends on the technology you've built or if you just use existing tools. In my case, I'm the owner of the tech that sends the emails so I could sell it. But my business is not email sending, it's lead generation.

But I can delegate, I can hire a copywriter, teach him all the stuff and take my place. It can run without me. But will I be able to sell that a big amount of $ ? I don't think so.

If you want to build a business for the exit, then software is much better.
