Automating Email Marketing For Our Agency

Hello, me and my partner have setup our digital marketing agency and now we are faced with the problem that we got tons and tons of replies/inquiries from potential leads through our email and contact form and we are losing sales because we can't possibly spend 12-hrs everyday following up and replying to people. We didn't expect to see this massive amounts of replies from our traffic.

My question is how we can go about outsourcing this part of the business so that we can focus on serving our customers and client base?

What quality are the leads? If your leads aren't qualified, you either need to focus on higher quality traffic or setup a qualification response. Have a templated email that asks for something like budget. If you want, you can be more upfront. On my agency's contact page, it says we work exclusively with brands who are planning to spend >100k per month within 3 months. That way, all the leads we get are worth persuing because 99% can afford our services.

If you want actual salespeople, hire someone from UpWork.

Our email templates/qualification process is ready and we are able to convert our leads into paying customers, but our roadblock at the moment is automating the process so we can focus on serving our paying customers. Me and my partner are spending approx. 12-hrs (6-hrs each) following up with leads and it is a drag, we sometimes take longer to response and the lead cools down and we lose sales so we are looking for better solutions.

Sales people from upwork, you mean hire VAs?
 
You can get some pretty good salespeople that only do sales. Before I got an in-house team, I hired a sales guy just starting out at about $40 per hour. Based here in Florida and he did a pretty good job.

My biggest advice about scaling an agency is understanding your numbers. If a single customer is only worth $500 to you, then it's not worth hiring an AMAZING sales guy at $200 an hour.

I spend $1000s of dollars to acquire a single customer because on average each one spends $1M+.

Until you understand how much money you're making, it's difficult to give you direct advice. I would do a qualification email and if they 'pass' that, get them to book a call in your schedule. When your schedule is full, hire a closer. When their schedule is full, hire another.

You've got so many leads, I wouldn't stress too much about follow-ups. Just focus on the customers that have the greatest intent or the largest budgets.

I'm still new, me and my partner but we are doing fine so far. We are no where near $1M. What you said makes sense I appreciate the advice. I'm going to need to check out Upwork and see what options are available. Thanks again :)

I think every client will have different queries and needs. So it will be difficult to automate.

Even if you automate it and onboards new client after few interactions, how will you serve then as your hands are already tied.

Maybe you can hire to a VA to better process follow ups and replies.

If you know what you're doing in marketing, it's an unbeatable offer. For the last 12 months, every single client had a positive ROI. I don't just sell marketing solutions that 'increase rank' or 'build brand awareness'. I effectively sell the enterprise equivalent of a PayPal money generator. When a client is convinced that they're going to get more money out than they put in, it's an easy sell.

Getting leads is simple. All of these complicated strategies and methods are bs. Be really good at what you do and deliver value.

Remember this: A business is a system that provides value in a timely and efficient manner. If you don't provide value, you don't have a business.

I would recommend looking on Upwork for someone/virtual assistant who can help you reply back to emails.

I also started my marketing agency recently focused on Lead generation through Google/microsoft ads with retargeting included. How did you manage to generate so many leads? I've made over 300 calls to businesses and havn't landed anything yet.
 
Hey I was thinking about this too... are there better ways to handle leads than email? I find it is hard to keep track of different issues when there are too many emails
