Email Blast Guidelines
1. Requirements.
The advertiser must have an approved live thread in the
Marketplace. All links from the Email Blast must link directly to the Original Post. Tracking Links are not permitted. The Email Blast content MUST provide an overview of the service offering in the Original Post of the Sales Thread.
2. Email Blast Copy
The advertiser must provide the Email Blast content (copy) as a Word file or PDF and formatted as you want it displayed in your Email Blast. The default background colour is white, with text colour in black; you can use two different other colours for your text. All links to your thread will be displayed in
BLUE (#0000FF).
The Copy, including thread links, must be sent to
[email protected] at least 2 working days before the Email Blast is due to be sent, so the approvals process can take place. There must be no pending thread edits to the thread you are using for your Email Blast when you send your copy. If you do have pending thread edits, your email blast will be rescheduled. Failure to provide the Copy at least 2 days in advance may result in scheduling delays or cancellation.
Your Email Blast will be sent for moderation to ensure that guidelines and
Marketplace Content Standards have been met. Following moderation, a PDF with any comments or changes to be actioned will be sent to the advertiser. After the changes have been made, a test Email Blast will be sent to the advertiser for final approval. The Email Blast will be scheduled and sent following the final approval.
3. Content Guidelines
The Email Blast is sent as a newsletter. The header and footer of the Email Blast contain BlackHat World® advertising information. The approved Copy is the only content in the main body of the Email Blast.
Calls to action, including links to Skype, Telegram, Email addresses, etc., are not permitted.
The links to the Sales Thread from the Email Blast copy must be dynamic and presented as follows:

4. Creating a Post within the Thread: References/Pricing/Discounts
An advertiser can create a post within the thread for the sole purpose of promoting: any special discounts or pricing offers, service reviews, or customer feedback. Infographics and images from members’ feedback are not permitted. You MUST link to the actual feedback from members in all cases, as detailed below:
5. Using Feedback in The Body of your Email Blast
Any feedback used in your Copy must link to the original feedback provided in your thread. Feedback can only be included if the member has Jr. VIP status or 100+ posts. For each feedback, a maximum of 3 lines (approx. 300 characters) is permitted and displayed in italics as follows: For example:
"In faucibus ante at felis pulvinar luctus. Etiam lacus magna, feugiat et iaculis in, tincidunt a est. Quisque id ultrices eros. Morbi pharetra mi lorem, sit amet maximus risus mattis in. Duis ut libero quis diam malesuada tempor. Sed sed eros non sapien maximus tincidunt ut id eros. Nullam gravida - BHW Advertising"
6. External References - Case Studies
To use a case study or an external reference (external references must be from an established source), the link to the reference or case study must be in your Sales Thread or a post within the thread that you have created. This provides the link that is displayed in the Email Blast Copy.
References from Moderators or Admins are not permitted in the Email Blast Copy.
7. Unquantifiable Claims
Your Email Blast Copy should not contain claims that are false, misleading, unquantifiable or unverifiable. For example: ‘Trusted’, ‘The Best’, ‘No.1’, ‘Guaranteed’, ‘Ranked Highest’, and ‘Greatest’ claims are not permitted.
Please see the
Marketplace Content Standards for further details.
8. Copyright
Any advertiser using content (Copy) or taking complete or partial text from a previous Email Blast on BlackHat World®, if proven, will receive an 8-point infraction.
9. A Quality Copy
It is recommended that the content (Copy) of the Email Blast is of high-quality and engaging, as this can affect the open rates; poorly written content will yield poor results. Poor or substandard English will be removed. The Email Blast copy should be short and direct, using a maximum of 2,000 words.
10. Images
Images can be used to enhance the Email Blast. Images must have a maximum width of 600 pixels, be relevant and link to the thread used for the Email Blast. The following file formats are permitted: png, jpg, or gif. Animated gifs are not permitted.
Please consider that some Email recipients may not allow the display of images or the use of HTML,
11. Discretion and Implication - BlackHat World
We reserve the right not to send Email Blasts about specific topics. We also reserve the right to remove certain words and characters. The decision is made purely at the discretion of BlackHat World® and is not negotiable.
The Email Blast cannot be promoted more than once with the same email content.
Your content must not imply or suggest that this is a service of BlackHat World®. It must always be clear that it’s your company/brand.
12. Subject Line(s)
Subject lines have a maximum of 100 characters, including spaces.
13. A/B Testing
You can offer up to 3 different subject lines for your Email Blast and the system sends these to 10% of the subscriber list. The Subject Line with the highest open rate will then be sent to the remaining subscribers.
14. Email Blast ‘Sticky’
The thread that is linked to from the Email Blast will be set as a sticky for 7 days from the date of the Email Blast. If the advertiser is running a sticky at the time of the Email Blast, a further 7 days will be applied.
15. Send Time
You can choose the send time for your Email Blast. It is recommended to send the Email Blast at 3:00 PM GMT, as this targets the end of the day in Europe and the beginning of the day in the USA.
16. Statistics
Statistics are available on request and include the number of Emails delivered, unique opens and unique clicks. Statistics are available 24 hours after your Email Blast has been sent.
17. The Process
1. You submit your Email Blast copy as a Word document and email it to
[email protected]. If you are using images, they must be included in the Word document or email.
2. The copy is then sent to a Marketplace Moderator.
3. The Moderator will check that the copy is within the Email Blast guidelines and Marketplace Content Standards here:
Marketplace Content Standards
4. After the moderator has reviewed the Email Blast copy, we will send you a PDF with any comments or changes; you must action the changes if required.
5. A test Email will be sent to the Email address that was used to make the booking.
6. If changes have been made, the Email Blast will be updated and a new test sent.
7. A final Email Blast test is sent for your approval; the Email Blast will not be sent until you sign it off.
