I want to get into cold email marketing to find leads. I watched some youtube videos to do it the right way to not fall into spam. Here's my steps and I'm looking for your advices on my setup:

1) Email Scraping
Use Apollo, igleads.io, tweetscraper

2) Buy Domains and Inboxes
Buy cheap 1-2$ yearly domains from Godaddy
Buy Gmail/Outlook accounts from smartlead.ai or use godaddy special discount for outlook or buy aged accounts from private vendors
2$ for each inbox

3)Warmup
Pay for smartlead.ai and use their own warmup tool. Setup the DKIM and DMARC. Warmup the inboxes using the tool for 1-2 weeks then start to send emails.

4)Structure
As I understand, I should send 20-30 emails per inbox and one domain can have 2 inboxes safely. Which means:
  • 10 domains
  • 20 inboxes
  • 25 emails per inbox
  • 500 emails per day
  • 1500 emails per month
Advices
Is there any steps that I'm missing to fall into spam? It seems like a simple process but maybe these youtubers might not reveal everything that is crucial for success and I don't want my emails to fall into spam after I paid for all the software and yearly domains and inboxes. Also is there any tool you would recommend rather than these ones listed or any things that needs to be changed?

This is very helpful as someone getting started with email marketing. I've tried instantly and it's been pretty good at getting into the inbox. But I do 20 emails a day, that won't move the needle for most people I guess.

Solid structure overall! Just make sure your copy feels personal (no mass-blast vibe), rotate domains if deliverability dips, and monitor reply rates closely. Add inbox health checks too! :anyway:

Dont cheap out on domains man, use .com, net or org

This was my tech stack

Instantly platform
Namecheap for domains and 3 inboxes per domain, less is ofc better but I found that was the sweet spot.
Zapmail for inboxes(msn + google) they have auto dns setup + export to instantly or smartlead as well
Chatgpt for copy, make sure you feed the BEST copies to get the best output and use no more than 3-4 lines for each copy.
Apollo for data, so here I made a mistake by using ONLY apollo for data, if I'd start over now, I'd probably use some waterfall service because its less likely to be spammed. And have atleast 10k ICP before calling off your campaign. I did another mistake of sending to only 1k data and crying why the fuck it didnt work well for me lol.

I used to warmup at 8-10 mails a day per inbox at 65-75% reply rate, and used to increase vol 20% per day approx and capped at 30-40 max per day per inbox that includes warmup + real campaign mails.

You're on the right track, but use Namecheap instead of GoDaddy for better domain reputation. Set up SPF with DKIM/DMARC. Verify emails with NeverBounce. Start slow (5–10/day) and ramp up. Use a custom tracking domain. Keep emails plain, short, and personalized—no links/images in first email. Test deliverability with Mailreach or Gmass. Instantly.ai or Lemwarm are solid alternatives to Smartlead.

Thanks for sharing, Your setup is already solid, but here’s how to refine it further-
  1. Domain Reputation – Avoid cheap domains (like $1 GoDaddy ones). Use .com/net/orgfrom Namecheap/Porkbun. New domains with no history get flagged faster.
  2. Warmup Nuance – Smartlead’s warmup is good, but mix manual replies (like "Thanks!" to real emails) to mimic human behavior. Gmail/Outlook AI detects robotic warmups.
  3. Inbox Limits – 25/day is safe, but start at 5-10/day for 3-5 days, then scale. Sudden spikes trigger spam filters.
  4. Content Trick – Use plain text only (no HTML) for first emails. Add links/images only after 1-2 replies. Many tools out there can help route emails cleanly.
  5. Data Quality – Apollo data is often overused. Scrape fresh leads with Phantombuster or Dropcontact to avoid "spammy" pools.
Bonus: Check domain health almost every week. One blacklisted domain can tank your campaign.

You're on the right track with your cold email setup—it shows you've done some solid research. That said, there are a few key areas where people often run into issues that aren’t always covered thoroughly
  • Buy domains with some reputation, it will be expensive but gives good results
  • Avoid using Gmail/Outlook unless you're 100% sure they're clean. Many aged inbox sellers recycle compromised accounts, which can kill deliverability.
  • Rotate your sending schedules, don’t blast all emails at once.
  • Randomize sending times and copy slightly across inboxes to avoid patterns.
  • Use custom tracking domains with tools like Smartlead/Instantly to protect your root domain's reputation
  • Make your emails feel personal and not templated.
  • Avoid spammy phrases like “free,” “guaranteed,” “buy now,” etc.

Do you mean to buy domains with .net .io .com in the end? Also do I need aged domains?

When it comes to outlook/gmail workspace accounts, what would be your recommendation? To buy a private SMTP inbox/ buy and create new gmail/outlook itself or buy from private vendors who sells this aged accounts?

Did you use the inboxes included in zapmail pricing? If yes, did you have any issues with it?

Also does it matter if the domain used before or if it's aged or I can just buy the cheapest option with .com on the end on namecheap?

yes I used the zapmail inboxes,

Aged domain works better but usually for any kind of mailing(b2b or b2c) now you have to wait 2 weeks for newly bought domains else it might get in blacklists.

When I was sending to affiliate offers using pmta etc setup, I used to buy domains and just let them sit for a month before I even configured them for mailing, that reduced the domain getting in blacklist. Also I used to buy pre-used namecheap domains via their marketplace but you have to do due diligence, many domains there are spammed already so you need to check in blacklists and buy only who are clean and are few months old.

What do you mean by "cheapest option with .com"? the .com domains there are the same? Or are you referring to Namecheap marketplace domains where users can sell/buy their unused domains?

Your process is solid, but make sure to rotate email content and subject lines , repeated patterns can trigger spam filters.

Is a good setup but don't cheap out on the domain use something solid like .com/net/org

All this you wrote is about Setup

Now Next Step is Subject Line and Offer in Content

Remember the people whom you are sending emails, they are already getting daily tons of emails , So Stand out

Ditch bought Gmail/Outlook accounts—they’re a fast track to bans and blacklists. Instead, use your own domains with Google Workspace (~$6/mo) or Zoho Mail (free tier) to set up legit inboxes, ensuring compliance and long-term deliverability. Test setup with MX Toolbox to confirm SPF/DKIM/DMARC are perfect before sending.
