AI Project Management Tools: Productivity Boost or Just More Hype?

I’ve been seeing more and more articles claiming that AI project management tools can “run your workflow automatically” or replace half your PM stack overnight. Supposedly, you just connect your docs, meetings, and tasks, and the AI handles planning, updates, reporting, and coordination for you.
Recently, I came across this article from Smallppt about AI tools for project management, and it got me curious whether these tools are genuinely improving productivity or if most of it is still marketing hype.
From what I’ve seen, opinions are really mixed.
A lot of AI users and PM professionals say AI is genuinely useful for:
  • summarizing meetings
  • generating task lists
  • writing status reports
  • organizing documentation
  • reducing repetitive admin work
But many also point out that AI still struggles with:
  • Understanding real project context
  • managing priorities
  • team communication nuances
  • dependency tracking
  • decision-making under changing conditions
One comment I read summed it up perfectly: AI works best as an “assistant,” not a replacement for actual project managers.

That honestly feels accurate to me.

I’ve also noticed a big difference between:
  • AI features built into trusted platforms (Notion AI, ClickUp AI, Microsoft Copilot, etc.)
    vs.
  • random standalone “AI PM startups” making huge automation promises
The established tools seem much more reliable because they integrate into workflows that people already use. Some newer tools look impressive in demos but apparently fall apart once projects get messy in real-world usage.
At the same time, there does seem to be real momentum behind AI-assisted project management. Recent industry discussions and research suggest companies are increasingly using AI for workflow automation, reporting, coordination, and productivity optimization — just not in the fully autonomous way marketing sometimes suggests.
So now I’m curious:
  • Has anyone here actually used AI project management tools in a real work environment?
  • Which tools genuinely helped your team?
  • Did they actually save time, or just add another layer of complexity?
  • Are there any trustworthy platforms you’d genuinely recommend?

I think a lot of the hype comes from confusing automation with decision-making.

In my experience, AI is very good at summarizing information, generating drafts and reducing repetitive work. Where it still struggles is understanding context, priorities and changing business requirements.

The biggest productivity gains I've seen don't come from letting AI run everything automatically. They come from using AI as a filtering and decision-support layer while keeping humans responsible for the final decisions.

That's why I tend to view AI as an assistant rather than a replacement. It can save a lot of time, but someone still needs to decide what actually matters.
 
I love using Trello for project management because it keeps tasks organized, deadlines clear, and every project moving forward smoothly.
