Hey BHW.

For mine,

Payment forms - Jotform then I reference & manually add the new clients into my Excel file.

Client management - I use Excel for mine (and in the file includes name,email,phone, campaign name, date ordered, requests).

Reporting - Reporb for creating backlink reports for clients.

Keyword Rankings - Scrapebox + their Rank tracker plugin & looking into Serpbook for clients.

But I personally have a hard time scaling it hard due to the amount of "non-automated" work this involves.

How about you & your SEO business on managing your SEO clients?

I've automated most of my reporting, except when my client's need to see something very specific. Both SEOMoz.org and Raven Tools have reporting tools that allow you to automatically send reports to your clients very month. I also utilize Basecamp to keep up with tasks and due dates. Lastly, I have an employee that I utilize to perform more routine work like link requests, etc. Not everyone has a big enough business to have an employee but even before I did I utilized freelancers to help me focus on higher level strategy while my freelancers focused on more granular execution.

Basecamp is a project management tool. How about managing your clients or reporting to them? Can Basecamp do that?
 
Google docs and calendar. Seems to be best way to keep the stuff on cloud. I have bad karma when it comes to HDD's :D

Yes it can do that. You can simply connect the client to the project.

Then for projects managements I use windows folders.

Then I use Serpfox.com for tracking rankings. :)

And I use that text notepad a looooooooooooooot, the guy who invented the text notepad is a damn genius.

Just curious with basecamp (a project management web app), what do you do for reporting for your clients? Is it just a backlink report via text file?

Using a rank tracker is a good idea for client reports.

It's good but we're talking about client management here :)

Simple is always the safest & maybe even the best way.

The thing that makes me go crazy here is tracking clients subscription if you are running a monthly service. When they cancel, you have to cancel rank tracking for their keyword, delete them from Excel, stop their campaigns or maybe even send them a report & notification of their cancellation.
