Need your recommendation and strategy for whatsapp bulk outreach

Hi everyone,
I’m planning to start a B2B outreach campaign and I already have accurate WhatsApp numbers for my leads.
I tried WhatsApp outreach around 7 years ago. It worked to some extent, but I also got banned multiple times. Back then I was probably doing it in a rough way, without proper warm-up, limits, segmentation, or a real strategy. Each time I had to request a review to get the number back.

This time I want to do it much more professionally. The number is aged, belongs to my company, and I don’t want to burn it or damage the business account.
I want to understand the safest and most practical way to approach this.

For B2B outreach on WhatsApp, what would you recommend?
How many first messages per day would be considered safe?
I’d appreciate hearing what worked and what you would avoid.

The fact that you got banned before but the number is old and business verified now is actually the right starting point. The thing to internalize: WhatsApp bans are driven far more by recipients hitting block or report than by raw volume. So the whole game is keeping that report rate near zero.

A few things that hold up:
- Warm up slowly. Don't jump to volume on day one. Start low, maybe 20 to 30 first messages a day, and only ramp up while blocks and reports stay flat. The ramp is the safety, not a magic daily number.
- Segment hard. Only message leads who would genuinely expect to hear from you in a B2B context. A tighter list reports far less, and report rate is what kills the number.
- Vary the opener. Identical bulk text is an easy pattern to flag. Keep first messages personal and relevant, and make opting out effortless.
- Go light on links in the first touch. Cold message plus link is a common trigger; lead with the message, save the link for the reply.
- Protect the company account. If you can, keep the main verified number for replies and relationships, and run the cold first touch from separate warmed numbers, so a ban never lands on the business account itself.

On the daily count, there's no fixed safe number. A warmed business number with a clean, well segmented list can usually start around 20 to 40 a day and climb into the low triple digits over a few weeks. But treat your block and report rate as the real dial: the moment it ticks up, pull back. That signal matters more than any number someone hands you.

So about the number 20-30 is good, and i don't want to send more
actually in my own experience i could send message to all real estate agents of two provinces in my country, but they blocked my number and i request for apeal and it fixed and then tried again and again with the same number. so i think nothing changed

That experience actually explains the "nothing changed" feeling. An appeal only gives the number its access back, it doesn't reset why it got flagged in the first place. If you go back and run the same pattern, messaging every agent across whole provinces who weren't expecting you, the block and report rate climbs to the same spot and the number lands right back where it was. The appeal fixed the symptom, not the cause.

And here's the key part: at that scale the volume was never really the problem, so capping at 20 to 30 is smart, but it isn't the lever on its own. The lever is who gets the message and whether it feels expected. A cold agent who doesn't know you blocks fast, and blocks and reports are exactly what burn a number. Same number, same cold list, you get the same result no matter how slow you go.

Two things that actually move it:
- Tighten the list. Instead of every agent in two provinces, message a smaller slice that has a real reason to hear from you, and make the first message clearly relevant with an easy way to opt out. Lower reaction rate, the number survives.
- Protect the main number. A number that's been flagged and appealed a few times carries a worse reputation, so it stays fragile. Keep that one for replies and relationships, and run the cold first touch from separate numbers, so one block never takes down your main line.

So it's less about sending fewer and more about the list reacting better. Get the report rate down and the same number holds.

20-30 is okay as a ceiling, but if the list is basically “all agents in the province” it will still get cooked, just slower. Warmup should be normal account activity first, then cold first-touch maybe 10-15/day for few days, then 20-30 only if replies are coming and blocks are almost zero. If 2-3 people block from a small batch, that segment is bad, not the number.

Also appeals don’t really reset trust imo, they just unlock you. So if the same audience already blocked you before, hitting them again from the same business number is asking for same result... better make the first msg feel like there is an actual reason you contacted that specific person, and no links/pitch wall in message one.

A sane warmup is 7-10 days of normal use first, not blasts: saved contacts, a few inbound replies, profile complete, no link sending. Then cold first-touch 5-10/day for 3-4 days, 15/day next week, 20-30 only if reply rate is decent and blocks basically zero. @Ahmirof if those same agents already blocked/reported that number, I wouldnt touch that segment again from the company line... the history matters. Better pre-filter them somewhere else first and only move the ones with some intent to WhatsApp.

Since it's your own company number so I recommend to focus on quality over quantity. Keep the messages personalized, avoid sending the same text to everyone and increase your outreach gradually as you see how people respond.

If you are serious about this I would strongly urge not to use your company number. Doing cold outreach on WA always come with potential risk and getting your main company number blocked is just not worth it.

You can get WA numbers fairly cheap, just warm them gradually. You can use multiple devices or you can even do it through API though you need to mess with a lot of records here.. floqal already provided some great advice that I mostly agree with from own empirical data so +1 to most of that.
