Hi everyone,
I recently posted a review for a software on G2, Capterra, and Trustpilot. I even attached the billing invoice as proof, but all three platforms rejected it.
I don't understand why this is happening. Has anyone else faced this problem? How can I get my reviews approved?
Thanks for any help!

Review platforms cross-check way beyond the invoice — they flag by IP reputation, account age, browser fingerprint, and session cookie history. A fresh account with no prior browsing history on that profile looks like a bot regardless of whether the invoice is real. What actually helps: log into the review platform and browse around for a few days before submitting, use a residential IP that geo-matches your business location, and make sure cookies from the platform's homepage are in your session before you submit the review. The invoice matters least of all the factors.

posting fake reviews is not possible now i think, platforms have upgraded their system/algorithem too good

What do you mean by this? make sure cookies from the platform's homepage are in your session before you submit the review.

This is actually quite common platform like G2,capterra and trust pilot use strict moderation systems.Review usually get rejected if they sound too promotional if the IP or location looks unusual,if account is new or not very active or if the invoice you provided does not meet their certification requirements.

Just to clarify, I didn’t post a fake review. I actually used the software and shared my real experience.

Also, I noticed something strange: when I submitted the billing invoice, it got rejected, but when I uploaded a dashboard screenshot instead, my review got approved on Trustpilot.

On G2, it has gone for review again, and on Capterra, nothing is showing in the review section right now. Also, on Capterra I didn’t even get any option to upload or share documents.

I’m just curious why this happened, should we avoid billing proof and share dashboard screenshots instead?
Also, this is my first time posting a review on these platforms, so I’m not fully aware of all the rules.

This happens a lot these platforms have strict rules even if you have a purchase proof.

Usually, reviews get rejected if they seem biased too short or duplicate content. Try writing detailed honest and unique reviews and avoid linking or copying anything directly from emails or invoices.

If the 5 star review doesn't work or getting removed, then try to post a short and pin-point 4 star review or 3.5 star review. Sometimes 5star reviews were not stick due to the upgraded algorithm and new systems.

The reviews shouldn’t follow the same pattern there are plenty of ways to keep them varied. If you do that, your reviews are much less likely to get flagged. Also, always try to post reviews using Trustpilot’s official AFS method.

Just convince your real clients to post reviews
Yeah, its organic but slow, because no one has such time to post review on Trustpilot, there are some ways globally to get reviews and make them hold forever.

Try rewriting your review in a more neutral and detailed way—include both pros and cons, and avoid overly positive or marketing-style language. That usually increases approval chances.

But one organic review is better than fake reviews that might get your profile banned

It almost always comes down to your IP address and the social profile you used. G2 and Capterra require very strong, aged LinkedIn profiles to verify your identity. If your LinkedIn looks new or inactive, or if your IP/VPN timezone doesn't match the billing address on that invoice you attached, they will auto-reject it every single time.
