Project Management Tool: Which tool are you using to manage your projects?

Hey guys,

I'm trying to figure out which software is the best to manage my different projects.

I want to be able to:
  • communicate with virtual assistants
  • give them the info they need
  • manage todo lists
  • write down a process and copy it for different projects
  • have a system with checklists.
  • etc.
I was considering Asana, Wrike or Zoho Projects, all of which have free plans.

Do you guys have any experience and/or suggestions?

salesforce if it fits in your budget, for free plans I've heard good things about zoho projects (never tried it personally).

I always found Salesforce complicated and not user-friendly and I think it might be an overkill for my needs. I've looked at Zoho projects this morning but it was also a bit more complicated than Asana or Wrike. I like that Wrike has a native mac app. Are you using Salesforce?

You can do all of that with Google Sheets and Google Drive for free.

You're right and that's what I was using before but I like some of the options and visual elements of the other online tools. Are you using Google Sheets exclusively?
 
I use asana for my writers. It’s pretty decent for being free.

I did used it in the past and the learning curve is not low, neither the cost but once you get things set it is quiet enjoyable (if you are a bit geeky about data and implementing cross platforms). if using mac is mandatory for you then focus on options that support it.

For the most part; I've grown to make managing dozens of people a daily routine, so I know what to allocate to who.
Although having a nice UI may appear to be helpful, muscle/mental memory can overcome that.
 
I've been a big fan of Clickup for a while, it works pretty well for me. Free plan should do everything you need.
 
I've used Zoho for sheets, docs and other office related stuff. Slack for communication and monday/jira/asana or trello for project management.

Thanks! It's the first time I hear about it and it seems interesting. I downloaded the mac app and will try it this week along with Wrike and Asana. Thanks!

Thanks! Slack is a good idea as well.
 
I have everything in google sheets, a spreadsheet for every site which is like a task list, with logins for associated forums, web 2.0s etc, plus cashflow, and links list.

It took me fucking years to get everything running as efficient as what I have it now, also I track all my tasks in a sheet called "tasks done" and mark everything down in my calendar, unless its a pre-planned task, which about 70% of the time it is.

@BKelly1 - Thanks. Sheets would be a free, simple and efficient solution. How do you manage your team, do you still need to send emails to your team? Do you use any other software to manage your workflow and comment on each tasks?

@Panther28 - Interesting. I already have a spreadsheet with all the logins, details, monthly visitors, revenues for each site, etc. Do you have a sheet where your VAs can have access to the data and a separate sheet with your cashflow/passwords that only you have access to? Did you start your spreadsheet from scratch or did you find a template somewhere? Thanks again!
 
@Kintoups nah, I have a folder with each VA's name on it, and they have a worksheet which I put tasks on, I only copy paste the logins they need, and the tasks they need. I don't give them access to my overall main sheets. The design of my system has morphed out of about 3 what you could call "versions" over the years until now which I'm satisfied with the workflow.

True but they can be very basic and not that fun/easy to use, just a lot of fiddling around, what I found. I've heard good things about ClickUp, Zoho should be good too. Give those a go and adapt from there
 
Asana along with Google drive for shared docs and sheets works for me.
 
I see Clickup here and indeed it's actually good. For my use-case though I really want a cross-platform app so I dropped it because the mobile app was horrible.
If you're on the same boat as me you can look at TickTick, Todoist, and Trello too.

TickTick being the todo-list that I actually use for my day to day life and for handling clients.
I've migrated to it after finding Todoist and Trello a bit lacking for my needs.

You can still check them out though if you think TickTick ain't fit for you.
Todoist has a very pretty and consistent UI from both web and mobile app, and Trello is a very simple kanban but has a solid track record.
