Starting All Clients on the 1st of the Month? (Staying Organized)

    In my past experience running my online SEO business I started the client the day they paid. So if they paid April 13th, the report was sent May 13th (monthly reports). I found this to be very annoying and would be much easier if I generated reports on the last day of every month rather than throughout the month. This also helps with keeping everyone's monthly plan organized.

    So for my local SEO business I am starting I am thinking I should delay the start and tell the client that I will be working on his or her campaign for more than a month for the first month (so they think that they are getting more). Is that a good plan? If you have any ideas feel free to pitch in!

    You could always pro-rate the first month. Basically they pay whatever percentage of the month is left. So if they start on the 15th, they would pay half the normal monthly cost; and then the full monthly price would resume on the 1st. It definitely is easier to stay organized that way.

    What I did was actually remove the reports altogether. I use Freshbooks which sends them their invoice a week before it's due. I also use MySEOTool, which gives them a login where they can see live rankings in Google and Bing, analytics, and whatever else you want to show them (links, social, adwords). It frees up a lot more time, and makes sure that you don't miss anything.

    I agree with englandrm pro-rate is the way to go here, and it will also allow you to pick your preferable payment date to send out invoices rather than having it split among the month.

    $300 clients are pro-rated to operate 1st of the month invoicing

    $1000 + clients I let them choose the day - and operate on their schedule ... I am in the service business and want long term relationships with Established Businesses.

    We make calls for clients like yourself (SEO, webdesign, b2b) who start whenever they feel the urge. Sometimes that's Monday and sometimes it's the 3rd week of the month. It's a tad different because we always do calls on a week to week, or month to month basis. We always START work on a Monday. With that said, you can still use this model.

    The best way I've found to do it is that we take the first payment whenever they want to start. So, if they call us on Tuesday, and pay on Wednesday, we bump them to a Monday start. For us, it takes a few days to get them set up anyways (we do a welcome call, have to get their list, scripting etc). So, EVERYONE gets services starting on Monday, no matter when they paid.

    Then, I send out invoices on Wednesday night, for us, they must pay by Friday at midnight, because I make the calling schedule on Saturday. If you aren't paid, you aren't on the schedule. Most clients pay when the get the invoice Wednesday night, since they are repeats. This works the same whether they are weekly or monthly clients...just gets sent out 2 days before it's due.

    It's knocked out the sending everyone an invoice on the day they expire, and just puts it to once a week or once a month, all on the same day.

    Interesting. Never thought about this. I guess it would help to stay organized and check up on progress on a regular schedule.
