advice needed- work time optimisation , acounts management , folder and data organisation

    Hi everybody :)
    So here is my "problem" , ive ben back to IM since a few weeks now and by time my online acounts just keep miltiplying ..
    afiliate programs , social marketing , emails acount , blogs , web hosting and administration and so on ..you see the picture let say i have 150 acounts of wathever it can be and it keep growing.

    for each product,affiliation,referal,parking,website,blog ..ect i have one:
    social websites ie:facebook,twitter ..ect all you can imagine in this cathegory
    website
    blog
    email
    picture sharing website
    username
    password ... all website have diferent password requirement some acept digit upercase symbol some not so a password like a6YhU$YbE!U% cant fit all ..same for username.. i have different pass/username for EVERY site of EVERY products/service i promote

    at the begining of my adventure with only one product it was easy to remember url ,place i did promote,social site ect but now im just LOSTTT

    i try to make thing neat and simple on my computer ...folder for each product and website with revelant cathegory subfolder where i stock info .. it look like this

    my product/website name
    -website/product
    -blogs
    -pictures
    -social
    -email list
    -USERNAME PASS

    problem one : password and username ....they are all diferent due to limitation or requirement of the website so its easy to imagine i cant remember them all ...im paranoid about password and security so i dont want to make my browser remember them ..anyway i delete my history ect every 2hours ..and i think its realy UNSAFE to store them in txt documents in my folders ...what can i doo ??

    problem 2 : to much information documentation picture folder bookmark argggggg i waste about 1 hours a day just searching info docs pic ..im always like..where i am ..what i was looking for ...where did i put this ..why the f* i dont find this banner ...

    Problem 3 : i find it hard to trak back my online promoting ..remember where i did promote where i SHOULD promote today or tomorow ect (this part is realy important to me cause i dont want to promote 15 time at the same place starting to spam and get bad reputation or get banned ect)

    Problem 4 : EMAIL AND USERNAME ..i tend to use email adress and username that help me remember what this acount is linked to but sometime it may loook realy unprofessional and i dont realy like this ..lol

    if someone can give my tricks on how to stop banging my head on the wall trying to get organised i will be more then happy
    i see some of you having hundreds of websites promoting tons of products and i wonder how you can manage all that
    ..im hypper and as thing grows i start to get lost

    Sounds to me you need the power of software to consolidate all of your data, not to mention your accounts, project documents etc.

    Web based tools that a free and powerful include ActiveCollab, BaseCamp etc especially if you are working with other people. That way you can create Project, milestones, tickets, upload documents and track everything on a calendar etc.

    As for desktop solutions, there's a couple of very good CRMs out there, if you know how to use Microsoft Project that can work as well. What I used to do was literally create local HTML files of everything (admin passwords, cPanel logins, direct links to project folders in Windows Explorer etc). Keep these all in my book marks in my browser and organised my bookmark folders accordingly.

    I use web based solutions now but this help reduce my clicks when jumping from one thing to another.

    i realy like the local html idea !

    what about the password and username secure storage? any idea ? i think that in html file passwords stay a litle bit vulnerable!?

    i will try Evernote
    for the security mather its just that i share my computer with my wife and she install tons and tons of BS like free smiley , ringtones program stuff and fall in every stupid scam and i find spyware and get alert from my antivirus almost once a day so ..lol :p

    Passwords:
    1. Very important ones - unrelated, I remember them (they are just 10 or so)
    2. Important ones - could survive/recover if hacked - I use algorithmic passwords - e.g. if username@site is john@somesite.com (not necessarily an email) then I can do 1st char from username, last char from sitename, 3rd char from username, 3rd from sitename, etc. That way i never have to remember 500 passwords, just the algorithm.
    3. Not so important ones (e.g. web 2.0 sites) - I store them in Excell worksheet with other data.

    Text/details - I use .txt files. You could use a simple Wiki platform like DocuWiki or a desktop wiki app like a notepad with filenames in a sidebar panel.

    Is not perfect but works.

    algorithm is a good idea i already do this on a less complex way for username ie: fukienWP for wordpress ,fukienGB for blogger fukienAMP for adminpanel but i think i will try to integrate all your sugestion together ie: a local html file wich i can list algorithm username in it lol

    thank everybody and keep posting every little implication can be usefull and benifit all member im sure im not the only one whit that problem :)

    what about folder organisation like pictures ,articles ,website content ect?
    how do you organise this in your own computer so it can be easily acessible ,modified and managed?

    Boot on Gnu/Linux when working (if you don't need to run tools that are win only) - spyware problem solved :)

    yess awsome!! i can setup a dual boot for sure! i will only need to do a backup of my folders to my new linux instal and it will be all right :D

    ( i think tool like twitter folower , facebook likes ect ect are all on windows tho but for security mathers ect its all good)

    Folders.... I'm to laxy to organize properly, but:

    1. You could install a windows program that allows you to build linux-style hardlinks and symlinks.
    2. Use a local linux server (i do that), map it as network drive, use symlinks.

    Why symlinks? Because if you have web development books you may want them to be in folder /books/web development/ and /WebDev/books - so more like a tagging system where stuff can be in more than one directory without being a copy to waste space.
