Best Inbox + Outreach Tools for Cold Email?

Hey everyone,

I already have a solid scraping setup for lead generation:


  • Lead Sniper (Google Maps, Yellow Pages, Google Search scraper)
  • Hrefer / Scrapebox (bulk scraping)
  • Dedicated server 24/7 running XEvil (captcha/recaptcha solving), DeepSeek (text captcha solving), and GSA Contact Submitter (bulk site submissions)

So scraping and automation are covered. What I need now is the email outreach side: inboxes on dedicated IPs + a reliable outreach tool that actually lands in client inboxes.


Here are the platforms I’m considering:


  • DoYouMail
  • Mystrika
  • Smartlead.ai
  • Instantly.ai

My Question:

I’m planning to do cold outreach (email + contact form submissions) to offer SEO services. Realistically, if I send around 30k emails per month (fresh scraped leads + contact form submits), is it doable to close at least 2 clients or more?


Would love to hear from anyone who’s run similar campaigns which inbox/outreach setup worked best for you, and what kind of conversion rates you saw in practice.
 
For email outreach at that scale, the infrastructure decision matters more than the tool you pick.

If you are hitting any real volume (500+ emails per day), you want multiple fresh sending domains with proper SPF, DKIM and DMARC configured before you touch them. Never send cold outreach from your main domain - one spam complaint and the reputation is done. Buy several domains related to your niche, set them up on Google Workspace or Outlook (both have significantly better deliverability than third-party SMTP for cold outreach), and warm them up for 3-4 weeks before sending anything.

For the sending tool: Instantly.ai and Smartlead are the two most commonly used for high-volume cold email right now. Both have built-in warmup networks. Instantly is more beginner-friendly and has better onboarding, Smartlead gives more granular control over sending schedules and rotation. Lemlist is solid if you want heavy personalization per email like custom image inserts, but it is slower to scale.

The real bottleneck at volume is deliverability, not the tool. Keep daily volume per mailbox under 30-50 emails, use reply-based threading for follow-up sequences, rotate domains aggressively, and watch your bounce rate - anything above 3% will tank domain reputation fast.

What niche are you targeting? The copy and sequence approach changes a lot depending on whether you are doing B2B service sales versus something like affiliate or SaaS outreach.

Thanks for the responses, I appreciate it! So the plan is to set up 7 domains, with 3 inboxes on each. Each inbox will send a maximum of 50 emails per day. That gives me 7 domains × 3 inboxes × 50 emails = about 1,000 emails per day total. I’m targeting local clients like dentists, roofers, etc., with the goal of closing them for SEO services.

Does it matter if the domain is something other than .com, since other TLDs are cheaper? Also, what service do you recommend for email verification to clean bad emails and reduce bounce rate? Most of the big ones like NeverBounce are extremely expensive. I currently use GSA Email Verifier and the API from https://email-verify.my-addr.com/ to verify my lists.

For setting up inboxes and dedicated IPs, I’m still researching. I’ve been looking at https://www.mailscale.ai/#pricing-nh and https://doyoumail.com/ does anyone here have experience with them?

And finally, for outreach tools, since I’m mainly focused on sending emails, should I just go with personal preference if the platforms are more or less similar, with differences only in specific features?
 
30k cold emails is nothing if targeting is bad. List quality and offer angle matter more than tool.

2 clients is doable but only if leads are very niche and message is sharp.
 
this is awesome information. Going to start working on an infrastructure soon myself. When i bought my domain i bought like 4 other ones that are similar so ill use those plus maybe a few new ones. 3 inboxes per domain sounds good. I think i will use instantly for warmup along with the suggested low volume emails to 3-4 trusted contacts. How many do you mean by low volume? Like a few a day. Go back and forth to seem more natural right?

Some questions i can use some help on from all posters/responders.

1. As far as scraping, i understand the term and have played around with i think it was called ghostly? Seems pretty straight forward but any tips? noticed you had mentioned captcha solvers.

2. I use Cloudways to host my clients projects and even email servers. How do you guys recommend i continue to use it for the dedicated IP portion of this?

3. I also use GoHighLevel for my clients. Is there anyway you would include this in your set up? It seems like for the email part google workspace or outlook is the best bet so I'm just thinking if there is anyway to use GHL here. Would be great to be able to use some of its automation features
 
30k emails a month can get you clients but only if your targeting and deliverability are solid because average conversion is around 0.5 to 2 percent so 2 clients is realistic but not guaranteed

The real bottleneck is not tools but list quality and positioning because most campaigns fail from poor targeting and inbox placement not lack of volume
 
Try looking for a program called
Mailer king
Use residential proxies using storm proxies or some other residential ip rotation service
Use Hotmail to send via smto
You should get bulk Hotmail from a vendor
Some are only good for 1 day and are .001 will send 10 or 5 emails before dying some are aged and 2 bucks and last longer depends on your strategy

Smartlead is what I use as my primary tool. The deliverability is way better than most alternatives I tried before. The warmup feature actually works and the inbox rotation keeps things clean. Setup takes some time initially but once you did it, the automation runs solid. If you are sending more than 500 emails per day across multiple inboxes, Smartlead handles it very well.

Instantly is also very good and slightly easier to set up. The UI is cleaner and the learning curve is shorter. For someone starting out with cold email, I would probably recommend Instantly first and then move to Smartlead once you scale up.

DoYouMail and Mystrika I have not used personally so I cannot comment on those with any confidence.

Smartlead or instantly are definitely the way to go for scaling up. Closing two clients out of 30k leads is super doable if your offer is hot, so just keep your deliverability tight and don't overthink it
 
I think I should focus on targeting specific customers to optimize costs and time.Sending emails frequently to the right audience will increase the effectiveness and number of your customers.
 
One thing nobody mentioned about infrastructure — custom tracking domains. If you use the default shared tracking domain from Instantly or Smartlead, your click/open reputation is tied to every other user on that domain. One bad actor gets it blacklisted and everyone's tracking links start triggering spam filters.

Set up your own tracking domain as a CNAME with SSL. This isolates your reputation from everyone else on the platform. Takes 5 minutes and makes a real difference at scale.

For OP's 30K/month math — 7 domains with 3 inboxes each at 30-50/day works out fine, but verify every list before sending. One batch with 5%+ bounce rate tanks domain reputation in a single day. Doesn't matter how good your tool is if your list is dirty.
 
With a volume like 30k, landing two clients is super doable if your offer is actually decent and your deliverability isn't trash. Go with smartlead or instantly for the outreach side since they’re industry standards, just make sure you're warming up those inboxes properly so you don't end up straight in the spam folder
 
Smartlead is probably the best out of those for deliverability right now. 2 clients from 30k volume is definitely doable as long as your offer actually stands out and your copy isn't trash.

No, I do not use proxies to log into Google Workspace accounts. These are legitimate accounts and Google flags unusual login patterns, so routing them through proxies actually creates more problems than it solves. You start triggering account security checks, recovery prompts, and in some cases temporary lockouts. Not worth the risk when the whole point is deliverability and stability.

For the company question, I keep things spread out intentionally. I do not buy all my domains from the same registrar or put all Workspace accounts under one billing profile. The reason is simple: if Google or the registrar flags one account, you do not want them all going down at the same time. I usually split across two or three registrars, Hostinger and Godaddy are my go-to ones, and each domain gets its own separate Workspace account with its own payment method.

The one thing I would add that most people skip is making sure each Workspace account has a unique recovery email and phone number. Recycling the same recovery details across multiple accounts is a fast way to get them linked together, which defeats the whole purpose of separating them.

Keep the infrastructure clean and boring. The less Google has to question, the better your inbox placement will be.
